Privacy Policy – Door County Property Sentinel
Last Updated:  March 13,  2026
Door County Property Sentinel (“we,” “our,” or “us”) respects the privacy of tenants, property owners, applicants, vendors, and visitors to our website (collectively, “you” or “your”). This privacy policy explains what personal information we collect, how we use it, with whom we share it, how we protect it, and the rights you have regarding your data.
When you interact with us—whether by completing a rental application, signing a lease, making a payment, submitting a maintenance request, or simply browsing our website—we collect identifying information such as your name, mailing address, email address, phone number, and government‑issued ID numbers (e.g., Social Security or driver’s‑license numbers). Financial details, including bank account or credit‑card numbers, are gathered only when you pay rent or fees through our secure online portal. We also retain property‑related data like lease terms, move‑in/out dates, and maintenance histories, as well as communications you send us via email, text, or phone. Our website automatically records technical data such as IP addresses, browser type, device identifiers, and cookie information to improve site performance and security.
We use this information to administer leases, process rent payments and security deposits, respond to maintenance requests, generate owner statements, and fulfill legal obligations (e.g., background checks, fair‑housing compliance). With your consent, we may also send you newsletters, property updates, and promotional offers; you can opt out of marketing communications at any time. To keep our operations running smoothly, we share limited data with trusted service providers—such as payment processors, background‑screening agencies, cloud‑hosting firms, and utility partners—under contracts that require them to protect your information and use it only for the purposes we specify. We may also disclose data when required by law, to law‑enforcement agencies, or in response to a court order, but we will share only the minimum amount necessary.
Security is a top priority. All data transmitted between your device and our systems is encrypted using TLS, and data stored on our servers is protected with AES‑256 encryption. Access to personal information is restricted to employees and contractors who need it to perform their job duties, and all such personnel receive regular privacy and security training. Physical servers are housed in secure data centers with controlled access, surveillance, and environmental safeguards. While we strive to protect your data, no security system is completely foolproof; however, we employ industry‑standard measures to mitigate risk.
We retain your information only as long as necessary. Lease agreements, rent‑payment histories, and security‑deposit records are kept for at least seven years after a tenancy ends, as required by state law. Application files and background‑check results are retained for three years after a decision is made, unless a longer period is legally required. Maintenance records are kept for five years, and marketing preferences are preserved until you withdraw consent. When the retention period expires, we securely delete or anonymize the data.
Depending on where you reside, you may have rights to access, correct, delete, or receive a portable copy of your personal data, as well as the right to object to or limit certain processing activities. To exercise any of these rights, or if you have questions or concerns about our privacy practices, please contact our Privacy Officer at owner@doorcountypropertysentinel.com or call (920) 824-9521. We will respond to legitimate requests within thirty business days.
We use cookies and similar tracking technologies on our website to enable essential functions (such as login sessions), analyze visitor traffic, and, when you have opted in, deliver personalized marketing content. You can manage cookie settings through your browser or via the cookie consent banner displayed on our site.
We may update this policy from time to time to reflect changes in law, technology, or our business practices. Any material revisions will be posted prominently on our website and, when appropriate, communicated to you via email. By using our services or website, you acknowledge that you have read, understood, and agree to this privacy policy.
